Conditions of Hire for the Church Hall
Hall hiring Policy
Deductions from the Damage Bond
These charges will apply.
1. Music after 11pm. Hall used outside of agreed time. £80 per hour. (Note: this is not pro rata.)
2. Rubbish not cleared properly. Beginning at £30.
3. Hall/ cooker/ car park not properly cleaned. Beginning at £30.
Items 2 and 3 are dependent on the charges of the caretakers.
The hall MUST be left cleaned and tidied. The floor should be swept and mopped.
- The hirer acknowledges that no tenancy is intended to be created between All Souls Parochial Church Council (the PCC) and the Hirer and no relationship of landlord and tenant exists between them. The PCC reserves the right to cancel or change a booking if the Hall is required for church functions, use as a polling station or any other exceptional need. Any fee paid will be refunded. The right is reserved for a representative of the PCC to enter the hall at any time.
- Any person wishing to hire the Premises must be over 18 years of age. The right to refuse any application is reserved to the incumbent and the PCC.
- A damage bond of £50 is required for all events (£150 for events at which alcohol is provided.) The bond will be refunded within 14 days of the event provided that no damage or loss has been caused to the premises or contents during the period of the hiring as a result of the hiring. The need for extra cleaning costs will be deducted from the bond.
- Any parties for young people of 18 years or younger are required to have the supervision of one adult to every ten young people. (An adult is someone 25 years or older.) Young people must be supervised at all times. Hirers are expected to comply with the Child Protection Policy of the Church Council. This is prominently displayed in the church hall. The parish of All Souls Harlesden regards the safe care and protection of children as of the utmost importance and expects those that hire or use Church premises to share this concern. Bouncy Castles are not permitted.
- The hall is let only for the agreed hours. The hirer of the hall must allow time for setting up and clearing away within those hours. The premises must not be used before the agreed time of hiring and must be vacated at the time on the booking form. Failure to do so will result in extra charges being deducted from the bond. The premises must not be left unattended during hiring.
- The Hirer will accept full responsibility for the preservation of good and orderly conduct during the period of hire. They shall bear the cost of making good any damage done to the premises, including the curtilage (outside), and/or contents during the period of the hire as a result of the hire.
- The hirer shall be responsible for making adequate arrangements to insure against third part claims which may lay against the Hirer or his/her organization whilst using the premises.
- Valuable items must not be left in the Hall, even if locked away. The Church accepts no responsibility for the loss of personal possessions or injury sustained to any persons whilst the Hall and Car park is in the use of the hirer. First Aid boxes are available and the incumbent or churchwarden should be informed of any injury or accident that occurs
- Music and noise must be kept at acceptable limits at all times as judged by a representative of the PCC. Music must be switched off one hour before the end of the let to allow for clearing up. We respect our neighbours and expect hirers to do the same.
- Music is subject to copyright law and the PCC has an agreement in place with CCLI to license all music played on the premises. There is a fee of £20 for this.
- It is the responsibility of the Hirer to ensure that any electrical equipment brought onto the premises is PAT tested and is compatible with the 13 amps sockets provided. Electrical equipment that is not PAT tested will not be able to used.
- For Health and Safety reasons the Parish Council reserves the legal right to limit the numbers allowed to use the large hall to 150.
- In compliance with Health and Safety legislation no food may be cooked on the premises and food must not be sold.
- Hirers must not attach any decorations or notices to the walls of the premises without prior permission and neither can decorations and notices be removed without prior permission.
- Smoking is not allowed anywhere on the premises. No fires or candles or naked flames are to be used anywhere in the halls or meeting rooms. The Fire Brigade should be called out to any outbreak of fire, however slight, and the accident reported to the incumbent or churchwarden. The Hirer is responsible for being aware of where fire extinguishers, blankets and fire exits are; and for the observance of all regulations affecting the premises imposed by the Fire Authority, the Local Authority or otherwise and must do nothing to contravene the laws of betting, gaming and lotteries.
- The carpark and hall will be left in a clean and tidy condition; and all external doors and windows secured. All other rubbish must be put in the bins in the bin area. Please supply your own plastic bags. No rubbish can be placed in the large Nursery bin.
- Children are not allowed to play in the carpark or in the Nursery playground area. This area is not part of the hire.
- The hall, toilets and kitchens must be left clean and tidy. Please ensure you bring cleaning materials and toilet rolls with you. All damage must be reported.
- If any food or drink is spilled on the floor it must be cleared up immediately otherwise an accident may occur. ) The Hirer will be expected to ensure that the floors are kept clean during and at the end of the period of hire.
- All accidents must be recorded in the Accident Book in the Hall Entrance area beside the First Aid box.
- The hall is not licensed for public performances, public dances, public discotheques or for the sale of alcohol. No alcohol can be sold on the premises without a Licence obtained from Brent Council and produced as evidence when the final balance is paid.
Hall hiring Policy
- All hirers must agree to the Conditions of Hire in writing.
- The hall will not be hired to anyone without a bond.
- All hirers will be treated equally in accordance with our Equal Opportunities Policy. Those hiring the hall will also be expected to comply with this Policy.
- Our charging policy is outlined below.
- A deposit of one third of the hiring fee will be paid to confirm the booking. This will only be refunded in the event of cancellation at the discretion of the Church Council.
- The balance of the hiring fee, with the bond, will be paid one week before the booking.
- The bond will be £50 for all events without alcohol and £150 for events with alcohol.
- There is a minimum hiring fee of £60.
- There is a copyright fee of £20 for the playing of music.
- The rate of hire for the hall and kitchen is £60 per hour (Church Members rate £40 per hour.) If the Hirer is a church member it is expected that the event will be for the family and friends of the church member and that some of the church family will be present at the event.
